RFID vs barcode: why retailers are switching

Barcodes were good enough. Until they were not.

Barcode scanning revolutionised inventory management when it arrived. But it has fundamental limitations: you need line-of-sight to each item, you scan one item at a time, and you cannot read through packaging.

For a store with 500 SKUs, barcode stocktakes are manageable. For a warehouse with 50,000 items or a jewellery store with thousands of pieces, barcode scanning takes days and still produces errors.

How RFID changes the math

An RFID reader scans over 1,000 tagged items per minute without line-of-sight. Walk through a warehouse aisle and every tagged item within 10 metres is counted automatically. Sealed boxes do not need to be opened.

A stocktake that took two days with barcodes takes two hours with RFID. More importantly, you can do it weekly instead of quarterly, catching shrinkage and misplacement before they compound.

The cost of RFID tags has dropped below 5 rupees per tag for UHF passive labels, making it economical even for low-value items. For high-value goods like jewellery, electronics, or pharmaceuticals, the ROI is immediate.

Real-world use cases in India

Jewellery retailers use RFID to count entire display trays in seconds. Each piece is tagged during manufacturing, and tray-level audits happen multiple times per day without disrupting sales.

Pharmaceutical warehouses use RFID to track batch-level inventory across multiple cold rooms and zones. Expiry management becomes proactive instead of reactive.

Garment retailers tag items at the factory and track them through distribution to the retail floor. Inventory accuracy improves from 65-70% to over 95%, directly reducing lost sales from stockouts.

Getting started with RFID

Start with a single category or zone. Tag new inventory as it arrives rather than retroactively tagging everything. Use a handheld reader with a companion app that connects to your existing inventory system.

The technology works best when combined with your ERP or WMS via API. Scanned data should flow directly into your records without manual data entry. If reconciliation still requires a spreadsheet, you have not gone far enough.
